Job Summary: The Supply Planning Specialist will serve as the central liaison between UPL and other entities, ensuring seamless coordination across supply chain activities, tolling operations, and export logistics. This role demands proactive communication, meticulous planning, and execution excellence to manage the end-to-end supply and shipment process. The role holder will be responsible for maintaining strong relationships with internal and external stakeholders, including tech suppliers, tollers, carriers, and finance teams, to ensure timely and accurate delivery of products and documentation
Job Responsibilities:
Communication & Coordination:
- Demand forecasting : Analyzing demand for our key products to predict our material needs accurately. By thoroughly examining the yearly budget from key accounts, aligning these requirements with key tech supplier and synchronize production with our toller.
- Inventory management : Monitor current inventory levels diligently and ensure they align with our demand forecasts. Prevent shortages or excess stock, particularly concerning tech and packaging materials.
- Coordination with our suppliers : Placing orders, monitoring delivery schedules, and negotiating service levels to maintain a smooth flow of materials. Additionally, maintaining strong relationships with our suppliers ensures timely delivery and reduces the risk of supply chain disruptions.
- Supporting production : Work closely with production and procurement departments to ensure materials are available when needed for manufacturing processes. Regular communication with key accounts is vital to address supply timing, order accuracy, pricing, and other operational updates.
- Responding to queries from key accounts multiple times a week is necessary to ensure timely resolution and maintain customer satisfaction. Coordination with suppliers to monitor production and shipping schedules, liaising with tollers regarding tech receipt, production plans, and shipment readiness are also essential tasks.
- Posting production in SAP, communicating with carriers to ensure timely truck dispatch and shipment pickups, and filing export documentation with US Customs are critical activities to ensure compliance, as UPL is the exporter.
- Timely and sufficient supply of materials for production. Forecasting demand, managing inventory levels, and coordinating with suppliers to prevent shortages and overstocking.
- Execution and documentation : Placing monthly purchase orders with key suppliers of tech and packaging, receiving goods in UPL SAP and managing GR/IR processes, issuing tolling purchase orders, and posting production receipts in SAP multiple times a week are necessary tasks. Creating bookings on the carrier’s website once enough is ready for shipment, uploading and managing all necessary shipping and export documents, and collaborating with UPL Finance to invoice customers accurately are also crucial.
- Working with tollers and UPL QA to generate COAs and other required documentation, maintaining contact with carriers for shipment dates and original ocean BOL copies, and sending comprehensive shipping document packages post-dispatch are all part of ensuring smooth operations.

- Issue tolling purchase orders to and postproduction receipts in SAP multiple times a week.
- Create bookings on carrier’s website once enough is ready for shipment.
- Upload and manage all necessary shipping and export documents.
- Collaborate with UPL Finance to invoice customer accurately.
- Work with Toller and UPL QA to generate COAs and other required documentation.
- Maintain contact with Carrier for shipment dates and original Ocean BOL copies.
- Send comprehensive shipping document packages to key accounts post-dispatch.
Required Education and Experience:
- Bachelor’s degree in Supply Chain, Business, Agriculture, or related field.
- 3–5 years of experience in supply chain coordination, logistics, or planning roles.
- Experience working with SAP and export documentation processes.
- Familiarity with tolling operations and third-party supplier management.
- Strong communication and stakeholder management skills.
- Detail-oriented with excellent organizational and follow-up capabilities.
- Ability to work independently and manage multiple priorities.
- Proficiency in SAP, Maersk booking systems, and Microsoft Office Suite.
- Knowledge of international shipping regulations and customs documentation
